The quality of the data in FIMS is crucial in your district being able to use and justify the data for Data Driven Decision Making. Correct data population in your system is the first step in this process and needs to be controlled at the district level.
Required Work Order Fields:
- Request Info and Description must be complete and accurate.
- Deferrals are work, which will be postponed to a later date. Deferrals should clearly state the reason for the delay and the new date needs to be entered.
- Contact Info should be pre-populated and correct.
- Assignment info and Completion dates must be entered.
- Budget Info requires that Purpose Codes and Crafts for each work order be entered.
- Action Taken is the description of work performed, this description should be specific, complete and should include equipment identification ( if available).
- Journal Notes allow the Maintenance Department to communicate specifics about the Work Order amongst themselves.
- Transactions require for all Labor, Materials, and Contract Costs be documented on the Work Order. If Budget Codes are used at the district each Transaction should be assigned to the proper Budget Code.
When you are using the Advanced Search and Reports functions in the Schooldude products each one of these fields provides a layer of filtering. Ultimately you can use these layers to filter the data in as many different ways as you have fields.
