Benifits and Challenges of FIMS use in NM

During our Recent Maintenance Advisory Group (MAG) Meeting the Pros and Cons of using FIMS was discussed in detail.  Please review these ideas and comment or add any other Pros or Cons as you see fit.  Thanks and have a Great Day.

PROS:

• More work orders identified
• Justification for added manpower
• Data now available for analysis
• Documentation of competed work
• identification of work by craft, location, etc.
• Work orders can be sent directly to contractors
• Monitor employee performance
• Justification for equipment replacement and training
• Standardization
• Risk management.

CONS:

• Change is difficult
• Big brother perception
• Limited staff for data entry.

FIMS Data Entry Quality

The quality of the data in FIMS is crucial in your district being able to use and justify the data for Data Driven Decision Making.  Correct data population in your system is the first step in this process and needs to be controlled at the district level. 

Required Work Order Fields:

• Request Info and Description must be complete and accurate.
• Deferrals are work, which will be postponed to a later date. Deferrals should clearly state the reason for the delay and the new date needs to be entered.
• Contact Info should be pre-populated and correct.
• Assignment info and Completion dates must be entered.
• Budget Info requires that Purpose Codes and Crafts for each work order be entered. 
• Action Taken is the description of work performed, this description should be specific, complete and should include equipment identification ( if available).
• Journal Notes allow the Maintenance Department to communicate specifics about the Work Order amongst themselves.
• Transactions require for all Labor, Materials, and Contract Costs be documented on the Work Order.  If Budget Codes are used at the district each Transaction should be assigned to the proper Budget Code.

When you are using the Advanced Search and Reports functions in the Schooldude products each one of these fields provides a layer of filtering.  Ultimately you can use these layers to filter the data in as many different ways as you have fields.

Welcome to the New Mexico School Maintenance and FIMS Users Group.

During our last Maintenance Advisory Group Meeting (MAG) we talked about how to use Maintenance Direct for driving Customer Service.  George Mcfall from Central Schools shared his districts’ charts and how they are using the Maintenance Backlog Report for reducing the number of Open Work Orders.

Maintenance Backlog:

1.         Reports Tab

2.         Work Order

3.         Print Work Order Report

4.         Select a Time period (Last Month)

5.         Multi-Select-New Request, Work  in progress, Parts on Order, on Hold, Waiting more Info, Pending, Waiting funding, deferred

6.         All other codes should Include All

7.         Select Summary Report 2 and change drop down box to Assigned employee.

8.         Check box to start new page when sort value changes.

9.         Indicate proper Month-Year for Report.

10.       Print This. 

11.       Once printed, you can strategize with your techs on how to reduce the open Work Orders.
